safetyflow — a service for comprehensive risk assessment and safety forms management

Task

Companies need a reliable platform for systematizing and automating risk management processes in production, especially on film sets. At the same time, it is necessary to ensure convenient work with safety forms during inspections, training, and audits. The main goal is simple and user-friendly work with risk assessments on film sets and feedback forms, so that users can easily manage all relevant documents through one interface. This will allow controlling risks, maintaining documentation, and automating connections between systems.

Solution

The project implementation was divided into several stages, which allowed optimizing the process, launching the service for the client's internal team, and simultaneously working on the next steps while testing the first part. The first stage and the core of the system consist of working with personnel, multi-level organizational structures, and risk assessment documents (Risk Assessment) — a key tool for identifying, analyzing, and managing risks that affect employee safety. The next stage is work on forms, specifically the form builder, which allows managers and teams to create forms with full control over field logic and display conditions (conditionality). Forms can be universal or customized for specific clients and production types. The third and final stage was work on documentation and optimization of all previous stages.
Since the core of the service lies in working with documents, we devoted a lot of time to this part: all documents must be stored in the system, be secure, and at the same time convenient for users. The design is thoughtfully simple even in complex business processes, so that users from different fields can easily use it. The interface is adaptive and allows working with documents from anywhere on the planet on any devices.

The service allows creating different dashboards for each task and populating them with the necessary widgets. All essential tools are always at hand: risk analytics, task statuses, quick sorting and data export, as well as flexible structure and visualization settings for maximum work efficiency.

Risk Assessments

Creating Risk Assessment in safetyflow covers the entire risk management cycle — from selecting the assessment type and entering details to hazard analysis, dynamic form interaction, confirmation, storage, and automatic notification of responsible parties. The process is divided into stages with hints, data validation, and convenient deadline control, allowing to collect and approve all risks quickly and responsibly, even when quick action or involvement of multiple participants and approval levels is needed.

Health and Safety Forms

Imagine a system where all important safety forms are collected in one place. The builder with over 25 logical blocks allows implementing most needed forms, with integration to Adobe Sign or PDF signatures. Forms can be auto-filled based on existing system data, and notifications about changes or new forms arrive instantly in the app and via email.

Conditionality — smart logic in forms

Conditionality shows only the form fields that are truly needed for a specific user. Automatic notifications (notifications) inform responsible parties exactly when an important action or choice occurs in the form. This saves time, reduces error risks, and ensures no event is missed.

Conditionality in safetyflow makes your forms truly interactive and dynamic. Thanks to this feature, individual fields, blocks, and questions are shown or hidden automatically based on the user's responses in the form.

Notifications

Wide customization of triggers based on user choices in fields and define recipients, which can be email or in-app notifications. This helps keep everyone informed, automates process control, and reduces risks of missed deadlines or tasks.
